Privacy Policy

ScoutIQ (“we”, “us”, “our”) provides AI-powered film analysis tools for coaches. This policy explains what information we collect, why we collect it, who we share it with, and how you can control your data. If anything here is unclear, email support@scoutiq.org and we’ll explain in plain English.
Information we collect
- Account info: name, email, password (hashed by our auth provider), team name, sport, level. Coaches provide this during signup.
- Game film: video files coaches upload to analyze. Stored encrypted in our cloud storage. Only people on your coaching staff (or, if you enable parent access, parents who subscribe) can view your team’s film.
- AI-generated analysis: tagged plays, formations, player numbers, reports, and game plans we produce from your film. Tied to your team account.
- Parent subscriber info: if a parent subscribes to view their child’s clips, we collect their email, the player’s name, jersey number, and (optionally) position. We do not collect any personal data about minors directly.
- Payment data: processed entirely by Stripe. We never store credit card numbers; we receive a customer ID and subscription status from Stripe.
- Usage data: standard server logs (IP address, browser, page paths, timestamps) and anonymous error reports via Sentry to debug crashes.
How we use it
- To provide the service: process your film, run AI analysis, generate reports, deliver clips to subscribed parents.
- To bill subscriptions: pass payment info to Stripe; verify your subscription status when you take paid actions.
- To support you: respond to help requests sent through the in-app widget or to support@scoutiq.org.
- To improve the product: aggregate, anonymized usage patterns help us tighten AI prompts and fix bugs. We do not train AI models on your individual film without your explicit permission.
We do not sell your data. We do not share your film with other teams.
Third-party services we use
ScoutIQ is built on top of the following infrastructure providers. Each receives only the data necessary to deliver their slice of the service.
- Anthropic (Claude): AI analysis of your film frames. Anthropic’s policy: not used to train their models when accessed via the API.
- Amazon Web Services (S3): stores your video files and play thumbnails. Encrypted at rest and in transit.
- Supabase: our authentication and database provider. Stores account info and analysis output.
- Stripe: handles all payments. We never see your credit card number.
- Vercel and Railway: host the website and backend. Standard server logs.
- Sentry: captures anonymous error reports so we can fix crashes quickly.
- Resend / Ntfy: if enabled, delivers transactional notifications.
Security
All data is transmitted over HTTPS. Film and database content are encrypted at rest by our storage providers. Access tokens use industry-standard JWT with short lifetimes. The number of people who can access raw production data is limited to a small operations team. If we ever discover a breach affecting your account, we’ll notify you within 72 hours and explain what happened, what data was involved, and what we’re doing about it.
How long we keep your data
- While your subscription is active: indefinitely. There’s no storage limit during your subscription.
- After cancellation: your account and film are retained for 30 days so you can reactivate without losing anything. After 30 days, we delete your film and analysis.
- Account deletion on request: email support@scoutiq.org from the address on your account and we’ll delete everything within 14 days.
Your rights
You can:
- View, edit, or correct your account info from the Profile page in the dashboard.
- Export your reports as PDFs from any report page.
- Cancel your subscription at any time from Team Settings → Manage Subscription.
- Request a full data export by emailing support@scoutiq.org; we’ll deliver it within 14 days.
- Request account deletion as described above.
If you’re in California, the EU, the UK, or another jurisdiction with extra privacy rights (CCPA, GDPR, etc.), you have those rights too — email us and we’ll honor them.
Children's privacy
ScoutIQ is intended for use by coaches (adults). Game film often contains footage of student-athletes, including minors. We do not directly collect personal information from minors. Coaches and parents who upload or subscribe are responsible for having the right to share that footage. If a parent of a minor in our system wants their child removed from any analysis, email support@scoutiq.org and we’ll act promptly.
Cookies and tracking
We use functional cookies for authentication (so you stay logged in) and to remember preferences (sidebar state, recent tags, dark/light mode). We do not use third-party advertising trackers. If we ever add analytics to understand product usage, it will be a privacy-respecting tool (e.g. Plausible) and noted here.
Changes to this policy
When we make material changes, we’ll update the “Last updated” date above and email coaches with active subscriptions a summary of what changed. Trivial wording changes won’t trigger an email.
